No worries for English beginners! We have introduced an AI automatic translation system!

JRCS is working to improve the efficiency of its operations by utilizing digital technology to increase productivity. Based on this policy, we have introduced a new AI automatic translation system in our translation department. Unlike ordinary free translation services, the system is highly secure and can translate voluminous documents at once, including web pages and PDF files. Not only members of the translation department, but also employees in various fields such as design, sales, procurement, quality control, administration, and overseas subsidiaries have registered for accounts and are using the system.

Our main target users were employees who were “beginners” who could not distinguish between correct and incorrect translations. Therefore, when comparing multiple services, we focused on the ability to perform “back translation” as an added value. Reverse translation is a function that re-translates translated text into text in the original language. By comparing the original text with the re-translated text, it is possible to check whether the meaning of the original text has been accurately translated. This is especially effective when translating highly specialized text.
Many of the “English beginner” employees who actually use the service in their work commented that it saves them time because they can understand the meaning of documents by themselves without relying on the translation department. However, as machine translation itself is still in its infancy, we also received comments such as, “If the accuracy of the translation could be improved a little, I would be able to use it more.”

In response to these comments, the translation department is taking the following measures to improve the accuracy of translation as much as possible.
The first point is the enhancement of the JRCS specialized dictionary. We have developed and registered dictionaries in the three fields of “Technical,” “Corporate” and “Marketing” to enhance originality and improve usability for our employees. For example, technical terms used in the marine and shipbuilding industries, as well as acronyms commonly used within the company, are accurately recognized and translated, eliminating the need for manual correction of translations.
The second point is employee training. The accuracy of the translation depends greatly on the accuracy of the original text. In the case of JRCS, most of the original text is in Japanese, so we have started to regularly distribute a web-based internal newsletter about the correct usage of Japanese. This has gradually increased the level of perfection of the translation and reduced the time required for revisions.

One of the major achievements is that the translation department has been able to start translating a huge number of internal documents, which they had been unable to do before due to the busy translation work at hand. The English versions of the work rules and other regulations are expected to be completed by the end of this fiscal year, and we will be able to provide an environment where our increasing number of non-Japanese employees can concentrate on their work.

While we will continue to strongly promote internal DX, we do not want the introduction of tools to be the goal, but rather we want to devise ways to use them efficiently to improve productivity throughout the company.
